In the customer database you can find all the guests who have ever lived in your hotel. Find the guest list in the Front Office / Guests section in the main menu.
When you enter the section you will see a table that contains information about your customers. There is a filter that allows you to narrow the search results.
There are 3 parameters in the filter:
- Guests can be filtered by the date of addition.
- You can also specify the period from ready-made ones.
- You can exclude foreign citizens or local citizens from the search.
Working with the table
In addition to the fact that in the table you can see information about the name, birth date and contact details of guests, you can also perform some actions in the table:
- You can delete a guest by clicking on the delete button.
- To edit the guest, click on the edit button or the their name
- You can download the guest list in CVS format.
- Next to the guests name you will see an icon of the book if you previously added documents to the guest
- If the citizenship was specified it will also appear under the name.
Adding and editing a guest
In addition, you can add a new guest. Click on the + Add button in the bottom of the screen.
In the opened window fill in two information blocks. Remember that the fields marked with * are required to fill in.
First name, last name, middle name - full name of the guest.
Sex - if sex is not automatically specified, specify it.
Language - not necessarily coincide with the country of residence, this is the preferred language of communication.
TIN - you can specify the guest's TIN if you wish.
Phone number 1 and Phone 2 - customer's phones for communication
Messenger - here you can specify Skype or another messenger.
Email - guest's email.
Note - any notes and other information about the guest.
Important! After filling out all the fields, do not forget to save the information.
After saving the information, 3 additional tabs will be available for editing at the top of the screen: ID / Passport, Address, Visa.
In this tab you can specify the data about the document provided at registration. Here it is necessary to fill in several fields:
Citizenship - citizenship of the guest.
ID type - select the desired document from the list.
Series and number of the document.
Issuing authority and Issue date.
Valid until - if the document is limited in validity, please specify it here.
Status of the holder - indicate whether the person is the owner of the document or inscribed in it.
Birth Place including Country, Region, District, City or a Settlement.
In this tab you can specify the guest's full residence address, including address in the form of an AOID code.
In the Visa tab you can add information about visa if the guest is not a local citizen.
There are 2 blocks for different cases.
In the first Visa block specify the following data:
Type - specify the type of visa.
Visa category - select a category from the list.
Number of entries - select one of the variants in the list.
Purpose of the trip - from the options offered to you select the most suitable purpose for the guests visit.
Purpose of entry - set the purpose of the guest's entry into the country.
Member of the state program - if the guest is a participant in the state program, indicate which one.
Entry point - indicate the name or code of the checkpoint through which the guest entered.
After that fill in the document registration details, such as series, number, date of issue, validity etc.
If the guest is a migrant, then fill in the second Migration card block.
Here you need to fill out series and number of a document, Information about legal representatives and Address of the previous place of stay.
